Frequently Asked Questions

On this page, you will find answers to the most frequently asked questions about Tesoro CRM. The questions are grouped by category so you can quickly find what you are looking for.


You can create a Tesoro CRM account via the registration page. After registration, you go through a short setup wizard where you configure your company profile. See Create an account for a step-by-step guide.

Go to Settings and invite team members via their email address. You can assign each user a role that determines their permissions. See Invite users for more information.

After creating your account, you can configure your company profile with your company name, logo, address, and contact details. This profile is used in emails, PDF brochures, and the client portal. See Company settings for details.

Tesoro CRM supports multiple languages for both the interface and contact communication. You can set a language per contact, which affects email templates and the client portal.


What is the difference between a lead and a contact?

A lead is a potential client who has shown interest but has not yet been qualified. A contact is a person in your broader database, this can be a converted lead, but also a lawyer, notary, or other party involved in a transaction. Leads have lead-tracking fields (source, stage, status), while contacts have a role (buyer, seller, lawyer, etc.). See Contacts and leads overview for a detailed explanation.

When a lead is qualified, you can convert them to a contact. This changes the person’s status and makes it possible to link deals to them. The lead history is preserved.

Can I import contacts from another system?

Yes. Tesoro offers a CSV import function for leads, contacts, and relations. You can download a sample file, fill in your data, and upload it with full field mapping. See Importing data for the complete guide.

Tesoro supports various roles, including: Buyer, Seller, Tenant, Landlord, Lawyer, Notary, Architect, Real Estate Agent, Accountant, and more. Roles determine how the contact is displayed and which links are available.

What do the lead stages (Hot, Neutral, Cold) mean?

The lead stage indicates how warm a lead is:

  • Hot: Actively searching, high chance of conversion
  • Neutral: Interested but not urgent
  • Cold: Low activity, exploring options or no recent contact

Go to Properties and click Add Property. Fill in the basic details (type, transaction type, price, location) and add photos, descriptions, and features. See Creating a property for a step-by-step guide.

Tesoro supports a wide range of property types, including: Apartment, Villa, Townhouse, Penthouse, Duplex, Studio, Detached House, Semi-detached House, Terraced House, Plot, Commercial, Office, and more.

First, connect one or more MLS portals (Multiple Listing Service) to your account via Settings. Then, you can configure per property which portals it is published on. See Publishing to portals for more information.

How do I import properties via an XML feed?

Tesoro supports Kyero-compatible XML feeds for automatically synchronizing property listings. Configure the feed URL via Settings > XML Import. Properties are synchronized periodically. See Connecting portals for the setup.

How do I add photos and media to a property?

On the property edit page, you will find the Media section. Here you can upload photos, arrange them, and set main photos. Tesoro also supports video URLs and virtual tours. See Property media for details.


A deal represents an active real estate transaction, a purchase, sale, or rental moving through your pipeline. Each deal has a type (Buy, Sell, Rent, Rent Out), a stage in the pipeline, and links to contacts and properties. See Deals overview for more information.

Tesoro has two pipelines:

Buyer pipeline: Knowing Property, First Visit, Multiple Visits, Offer, Reservation, 10% Contract, Signing Deed, Won, Lost

Owner pipeline: has its own set of stages for the sales process from the property owner’s perspective.

The pipeline stages are standard in Tesoro and cannot be freely customized. They are designed to cover the complete transaction process in the real estate industry.

On the deal page, you can add contacts via the Contacts section. You can link multiple contacts to a deal and assign each contact a type (main contact, co-contact).


Yes. Tesoro offers integrated email functionality. You can send emails from contact and deal pages, with support for email templates. See Email for more information.

Yes, Tesoro offers WhatsApp integration that allows you to send and receive messages from within the CRM. See WhatsApp and SMS for the configuration.

Tesoro supports call integration. See Calls for available options and configuration.


Yes. Tesoro has a Migration Toolkit with built-in support for Sooprema (JSON exports) and Inmoweb (XML exports). For other CRM systems, the toolkit can be extended. See Migration overview for the complete process.

Which file formats are supported for import?

  • CSV: For contacts, leads, and relations
  • XML: For properties (Kyero format) and Inmoweb exports
  • JSON: For automated connections and Sooprema exports

No. The migration principle is that nothing should be lost. All records are imported, including deleted records (marked as is_deleted). After migration, the numbers are compared with the baseline and an ID-level verification takes place. See Migration overview for the verification procedure.

Yes. The CSV import wizard automatically runs a preview after you have set up the field mapping. During this preview, all rows are validated without saving any data. You can check the result and correct any errors in your CSV before starting the final import.


Tesoro offers various AI-powered features, including automatic processing of portal leads and AI-generated property descriptions. See AI features overview for a complete overview.

Tesoro can automatically process incoming portal leads with AI. The system analyzes the message, extracts contact information, and links the lead to the correct property. See AI lead processing for details.

Yes. Tesoro can automatically generate descriptions in multiple languages based on the property data. See AI descriptions for more information.


Go to Settings > Email Templates. Here you can create and edit templates with variables that are automatically filled in (contact name, property details, etc.). See Email templates for a guide.

Go to Settings > PDF Templates. Tesoro offers customizable PDF templates for property brochures that are automatically filled with property data and photos. See PDF templates for more information.

Yes. Via Settings > Custom Fields you can add extra fields to contacts, properties, and other entities. See Custom fields for the configuration.

Go to Settings > Subscription to view your current plan, upgrade, or change billing information. See Subscription for more information.


The client portal is a secure environment where your clients can view properties you have shared with them. Clients can log in, view properties, mark favorites, and provide feedback. See Client portal overview for more information.

How do I give a client access to the portal?

You can invite a client to the portal from their contact page. The client receives an email with login details. See Portal users for the steps.
